How to Edit a WooCommerce Booking

Sometimes a customer needs to change an existing booking after placing an order. You may need to move the booking to a different date or time, add participants, or change the assigned resource or asset. With the Bookings and Appointments for WooCommerce plugin, you can edit a WooCommerce booking directly from the All Bookings page instead of cancelling the original booking and creating a new one.

This guide explains how to enable Booking Modification, give access to other user roles, and update an existing booking while keeping its booking and payment details in sync.


Note: Booking Modification is currently a beta feature and is not compatible with other PluginHive add-ons for this plugin, including:

• PH Product Add-ons
• PH Deposits
• PH Recurring Bookings and Appointments
• PH Multiple Non-Adjacent Bookings
• Other PluginHive booking add-ons

Avoid modifying bookings that use these add-ons until compatibility is available.

Enabling Booking Modification

Visit Bookings → Advanced → Booking Modification (Beta) section and enable the Enable Booking Modification toggle. This allows Administrators to modify bookings from the All Bookings page.

Allowing Other Roles to Edit Bookings

By default, only Administrators can modify bookings. If you want your Shop Manager or booking desk staff to have the same access without giving them full admin rights, use the Allow access to specific roles field in the same section and select the roles you want to grant access to.

Note:
Before using the Allow access to specific roles option, make sure the required role has the Manage WooCommerce capability. By default, roles such as Editor or Contributor may not have this capability. You can use a User Role Editor plugin to enable Manage WooCommerce for the required role. Once enabled, the role can be selected under Allow access to specific roles.

Once you have selected the required roles, click Save Settings to apply the changes.


Modifying an Existing Booking

Go to Bookings → All Bookings, find the booking you want to modify, and click Edit in the Manage column.

This opens the Modify Booking panel, where you can update the following details:

  • Booking Dates: Select a new date and time from the booking calendar. Available time slots show the number of remaining spots, while the original booking date and time are shown for reference.

  • Booking Status: Change the booking status using the Status dropdown.

  • Participants, Assets & Additional Resources: Depending on the booking product, you can change the number of participants, update the assigned asset, or select or clear additional resources.

Note:
Changing the Asset updates the available dates and time slots based on that asset’s availability. Select the Asset before choosing a new date or time.

Update Payment and Customer Notification Options

  • Payment & Customer Notification: Choose how the customer should be notified:
    • Send Updated Booking Details + Payment Link – sends the updated details along with a link for the customer to pay any additional amount due.
    • Send Updated Booking (No Payment Link) – available for already-paid bookings; sends the updated details without a payment request.
  • Payment Summary: Automatically recalculates the total based on your changes, showing either the Additional Amount Due (for unpaid/partially paid bookings) or the Balance Due (for paid bookings).
  • Keep the original booking price:  Enable this if you want to update the booking’s details without changing what the customer is charged. The customer will still receive the updated booking information, just not a revised price.

Once you’re done, click Update Booking to save the changes. The booking details are updated after being re-validated against availability, capacity, and buffer rules.

When “Send Updated Booking Details + Payment Link” is selected, the customer receives an updated booking email with the revised details and a payment link for any additional amount due.

When “Send Updated Booking (No Payment Link)” is selected, the customer receives an updated booking email with the revised details without a payment link.

Note: If the updated booking total is lower than the amount the customer has already paid, the changes cannot be saved. Refunds are not supported through Booking Modification, so any required refund must be processed separately.
